SUBJECT       :           CONDUCT OF WEEKLY READINESS MONITORING

In line with the Memorandum dated December 18, 2024, titled "Implementation of the School Readiness Assessment" and succeeding resource audits implemented, DepEd is rolling out a Weekly Readiness Monitoring. This serves as a monitoring tool. for regions, schools, and the Central Office to evaluate preparedness levels, provide targeted support, and close resource gaps as we move closer to the scheduled administration of the main survey.

 

Below are guidelines on the implementation of this weekly monitoring:

 

School Readiness Criteria

 

Building on the intervention efforts and resources provided to schools since the initial School Readiness Audit Checklist, the Weekly Readiness Monitoring primarily supervises six (6) key criteria to assess readiness:

 

Readiness of Testing

Room

·      Availability of desks and comfortable chairs for each sample student

·      Spaciousness of testing room, enough for administrators to move around between desks/tables where devices are placed

·      Enough space or partitions between students

·      Sufficient lighting

·      Ventilation and temperature control

·      Availability of drinking station and comfort room inside/near the testing room

·      Accessible to students with mobility challenges, if applicable

Readiness Devices

·      1: 1 student-device ratio

·      Availability of three (3) spare devices as back-up

Readiness of Internet Connectivity

·      100 mbps internet speed in the testing room

·      Stable internet connection even with simultaneous use of multiple devices

Readiness of Power Infrastructure

·      Availability of consistent and stable power supply

·      Availability of back-up power supply (UPS, generator etc.

Readiness of Teachers

·      Teachers took the pre-test from Khan Academy PH

·      Teachers received training from Khan Academy PH

·      Teachers conducted learning sessions

Readiness of Students

·      Students took the pre-test from Khan Academy PH

·      Students received and completed learning sessions from Khan Academy PH

·      Students took the post-test from Khan Academy PH

 

Note that the level of school readiness is assessed through the following indicators:

 

·      ASSESSMENT-READY- all 6 criteria have been fully achieved i.e. all required standards met

·      ALMOST ASSESSMENT-READY - meets 4-5 criteria only, needing a few more interventions to meet all required standards

·      PARTIALLY ASSESSMENT-READY - meets 3 criteria only, several interventions still needed to meet all required standards

 

The objective of this monitoring is to ensure that all sample schools are adequately equipped and prepared for the test within the remaining time available for support and intervention.

 

Roles and Responsibilities

 

·      School Heads - School Heads shall oversee the verification of resources, conduct monitoring activities, and ensure the completion of digital forms.

·      Regional Focal - Regional Focals serve as the primary liaison for the Central Office Focal, facilitating coordination on school-specific support, needs, and other communication matters.

·      DepEd Focal - The DepEd Focal shall coordinate internally with relevant offices to facilitate the delivery of school-specific needs and support, validate assessment reports, and consolidate data to be reflected in the Readiness Dashboard, and used to provide updates to weekly Executive Committee meetings.

 

Implementation Timeline

 

The Weekly Readiness Monitoring will be conducted digitally via Microsoft Forms, accessible through the following link: https://forms.office.com/r/w4rxq50snG.  Given the current limitations of MS Forms, all fields in the digital form must be completed with each use. Nevertheless, schools are expected to provide precise and timely updates on areas that require further intervention or remain pending completion.

 

To ensure inclusion in the weekly consolidation report every Friday-used for the following week's Executive Committee meeting and reflected on the Dashboard-schools must update their submissions by Wednesday at 12:00 NN.

 

Schools are expected to continue submitting the Weekly Readiness Monitoring form until one week before their scheduled testing date or until they are officially tagged as "ASSESSMENT-READY".
